See which Freshservice agent seats nobody is using
Freshservice bills for every full-time agent seat. Seat Sweep lists the agents with no activity or login for 30 days (or the number you choose), adds up what those seats cost, and opens one digest ticket a month for your admin. It never changes an agent.

What the report shows
Open the app inside Freshservice to see the list at any time. The same list goes into the monthly digest ticket.
How idle is decided
Seat Sweep reports what two fields of the Freshservice Agents API show. These are the exact rules.
What counts as idle
- It takes the later of
last_active_atandlast_login_at. - If that is at least N days ago, the agent is listed. N is 30 by default and can be 1 to 365.
- An agent with no activity and no login at all is listed once that agent’s own account is at least N days old.
What is left out
- Occasional agents (the Freshservice agent type that is not a full-time seat) and deactivated agents are not counted. The report shows how many were skipped.
- Nothing beyond 5,000 agents is read in one run.
- Seat Sweep does not guarantee any saving. It shows who has been inactive and what those seats cost at the price you entered.
What it does not do
It never edits agents
It does not deactivate, downgrade or delete anyone. The report links to the agents admin page in Freshservice, where you decide.
It does not read your bill
You enter what you pay per full-time agent per month. The cost is that number times the idle count.
It sends nothing to us
The app has no server of its own. Its only outgoing requests go to your own Freshservice address. Details on the privacy page.
Price
$15 per Freshservice account, per month
One price for the whole account, not per agent. Freshworks bills it; Hexloom Labs never sees your payment details.
Is it worth it for you?
That depends on your seat price and how many seats are idle. If one seat costs you $49 a month, a single idle seat is more than three months of Seat Sweep. If every seat is in use, the report will say so and you will have learned that for $15.
Setup in about two minutes
- Install Seat Sweep from the Freshworks Marketplace.
- Enter six settings: your Freshservice address (for example
acme.freshservice.com), an admin API key, the email address for the digest, your price per full-time agent per month, its currency, and the idle threshold in days. - The check runs once a day. The first time it finds no digest for the current month, it creates the digest ticket. Open the app any time for the live report.
Where your API key goes
Freshworks stores the key as a secure installation parameter. The app sends it only to the Freshservice address you entered, to read the agent list and create the digest ticket. It is never written to a log.
Questions
Does it work with Freshdesk or other Freshworks products?
No. Seat Sweep is built for Freshservice only.
Will it deactivate agents for me?
No, and it cannot. Version 1 only reads the agent list and creates a ticket. Removing a seat is a decision you make in the Freshservice admin screen.
An agent is listed but I know they are active. Why?
Seat Sweep shows what last_active_at and last_login_at report for that agent. Check the agent’s profile in Freshservice, and if the two disagree, send us the details.
What if the monthly digest fails?
A failed run records nothing and the check tries again the next day. The error is written to the app log with a status code and never with your API key.
What happens when I uninstall?
The daily check stops. Digest tickets already created stay in your Freshservice account, because they are your tickets.
