Seat Sweep privacy policy
Seat Sweep reads the agent list of your own Freshservice account and shows you which agents have been idle. This page says what it reads, what it stores, where that data goes, and what this website records.
What the app reads
Once a day, and whenever you open the report, the app asks your Freshservice account for its agents. For each agent it uses the name, the email address, the last_active_at and last_login_at times, the account creation time, and whether the agent is active and whether they are an occasional agent. It reads up to 5,000 agents per run.
Where that data goes
- The app runs inside the Freshworks app platform. It has no server run by Hexloom Labs.
- Its only outgoing requests go to the Freshservice address you enter during setup. The install is refused unless that address ends in
freshservice.com, so your API key cannot be sent to another host. - Hexloom Labs does not receive the agent list, the report, your settings or your API key, and nothing is sent to any other third party.
What the app stores
- Your settings (Freshservice address, digest email, price per seat, currency, idle threshold) and your API key, as installation parameters held by Freshworks. The key is marked secure, is used only to call your own Freshservice account, and is never written to a log.
- One record of the last digest: the month, the ticket number and the time it was created, so the app creates at most one digest ticket a month.
- Nothing else. The agent list is read fresh each time and is not kept by the app.
The digest ticket
Each month the app creates one ticket in your Freshservice account, addressed to the email you set. The ticket lists the idle agents by name and email with their last activity date, and shows the cost of those seats at the price you entered. It lives in your account and is visible to whoever can see that ticket in Freshservice.
What it does not do
Seat Sweep does not deactivate, edit or delete agents, does not sell or share data, and does not use it for advertising or for anything other than the report and digest you asked for.
Uninstalling
Everything the app stores sits in your Freshworks installation, not with Hexloom Labs, so there is nothing on our side to delete. Uninstalling stops the daily check. Tickets already created stay in your Freshservice account. The terms and privacy policy of Freshworks govern the platform, including how it handles installation parameters after an app is removed.
This website
These pages are static. They set no cookies and load no advertising or tracking scripts of our own. The one form is the launch notice on the Seat Sweep page: it sends the address you type to hexloomlabs.com, which emails you a confirmation link. Only after you click it is the address kept, with our email delivery provider, and it is used for one email when Seat Sweep is listed on the Freshworks Marketplace. Each email has an unsubscribe link. The site is hosted by Cloudflare, which counts page views with its privacy-focused web analytics (no cookies, no individual profiles) and keeps ordinary server logs.
